Module 44 · Command and up

Supplier bills checked against what arrived, approved, then paid.

A bill starts from the delivery purchasing already recorded, so what was ordered, received and billed sit side by side. Approved bills are paid one by one or in a run, and ageing shows what is late.

How it works

Bill it, approve it, pay it.

Bill the deliveryStart from the goods receipt, correct any price to what the paper says, and add a delivery charge if there is one.
Approve itUnder the threshold the keyer can approve. Over it, someone who neither keyed nor edited the bill.
Pay itPay one bill, part of one, or a run of them, and the ageing and statement update as you go.

What is in it

Supplier bills, feature by feature.

Each bill keeps VAT apart from its ex-VAT subtotal, and suppliers are paid by bank transfer, cheque, card or cash.

Bill from a delivery

Pick a goods receipt and the bill fills with its lines, prices, the supplier's invoice number and a due date from their terms.

Pay in full or part

By bank transfer, cheque, card or cash. Cash leaves the till drawer only when ticked, so the cash-up carries it.

Three-way match

PO price, received price and billed price side by side, with bill vs delivery and delivery vs PO kept on the bill.

Approval

A bill over the outlet's threshold needs an approver who did not key or edit it. A bill with no delivery always needs an approver, whatever its size.

Approval

Supplier statement

Brought forward, billed, paid and carried forward per supplier, or one supplier's bills and payments with a running balance.

Payment runs

Tick the open bills, one method, one date, one reference. If any one cannot be paid, none is.

Payment runs

Supplier ageing

What is owed on any date, by current, 1-30, 31-60, 61-90 and over 90 days past due, with a CSV.

Bills match what you accepted

A supplier bill is pre-filled and matched against the goods you actually accepted, not what you ordered, and a debit note is credited against it for what the bill over-charged.

Questions it answers

The four you will ask it first.

  • What do we owe suppliers that is overdue?
  • What falls due in the next seven days?
  • Did the dairy bill match the delivery?
  • Which bills are waiting for approval?

Before you believe it

The three questions everyone asks.

Can the same supplier invoice be paid twice?

No. A supplier's invoice number can be live on one bill only, and each delivery on one bill, so a second copy is refused.

Can I pay a supplier in cash from the till?

Yes, when the box is ticked by someone with a shift open at that outlet, dated today. It shows in the cash-up as a paid-out.

Do supplier payments show in the cashflow?

Yes. Payments are a line in the monthly cashflow, and approved bills show under supplier bills due at their own due date.
