Module 08 · Shift and up

Stock that moves for four reasons and no others.

Stock moves for exactly four reasons: you received it, you sold it, you wasted it, or you counted it. Everything else is a story.

How it works

In at cost, out through the recipe.

Receive against a documentStock lands at the price actually paid, against a vendor and a document.
Deplete through the recipeSettling an order deducts the ingredients behind every line, so the shelf follows the till.
Count and compareA physical count writes an adjustment, so the difference is a fact you can look at rather than a feeling.

What is in it

Inventory, feature by feature.

Inventory and stock control are on the Shift plan and up, from AED 429 per outlet per month on a 2-year term, and support is a person in Dubai, any hour of any day.

Automatic depletion

Settling an order deducts the ingredients behind every line, through the recipe.

Counts

A physical count writes an adjustment, so the difference is a fact you can look at.

Counts

Receive stock

Against a vendor and a document, at the price actually paid.

Receive stock

Wastage

Logged with a reason, and visible as its own number rather than buried in variance.

Wastage

Slow movers

Stock that has not moved in its window, listed by shelf value and held back from the next suggested order.

Par and reorder levels

Below reorder is a dashboard exception, not something you notice on a Friday.

Two taxonomies

Where it is stored, and what commodity family it belongs to. A purchasing question and a kitchen question are not the same question.

Two taxonomies

Short or refused

Receive stock with or without a purchase order, and record a short delivery or goods refused at the door with the reason. Refused goods never enter stock and are never billed.

Purchase orders on A4

Your logo, company and TRN, the delivery outlet, the supplier and its TRN, the lines, totals and your terms. Each supplier is set to no VAT, prices excluding VAT or prices including it, and stock is always costed before VAT, so food cost stays true.

Approval that cannot be split

Approval limits check the amount you will actually pay, and same-day orders to one supplier are added together, so splitting an order does not slip past approval.

Over-delivery, within limits

With Purchasing, each outlet accepts a set percentage of extra goods. Anything above it needs a manager.

Substitutes, linked

With Purchasing, what actually arrived is linked to the line that was ordered, so stock and food cost follow it and the order is not left showing as owed.

Close one line

With Purchasing, close the rest of a single line when the supplier cannot supply it, without closing the whole order. Closing an order short records why.

Supplier performance

Under Suppliers, with Purchasing: fill rate, on-time delivery, substitutions, rejections with their reasons, price differences against the order and debit notes, per supplier and month, for your eyes only and out to CSV.

Ordered against delivered

Every purchase order line shows what was ordered, received, substituted, rejected, cancelled and still outstanding, and the A4 order carries the delivery record.

Debit notes

Numbered A4 debit notes to suppliers for rejected goods and billing differences, with your logo, both TRNs and Save as PDF. They are credited against the supplier’s bill only for what that bill actually over-charged, or recorded as settled by refund.

Questions it answers

The four you will ask it first.

  • What should be on the shelf, against what is?
  • Which ingredients are under their reorder point?
  • What was wasted this week, and why?
  • What did this delivery actually cost?

Before you believe it

The two questions everyone asks.

Do we have to count every day?

No. Stock depletes through recipes on settlement. You count when you want to check, and the variance tells you where to look.

Can it order from suppliers?

It builds the order from par levels; you send it. Receiving values the stock at the price actually paid, and a price that differs from the standard cost goes to head office to approve.
